Plain English, no legal filler.
What we collect
- The Owner Numbers survey: your answers (mostly tap-to-choose ranges), your state if you give it, and free text if you write it. We do not ask for your name or company name.
- If you claim the free owner toolkit, or give an email and check a consent box on the survey, we store that email so we can send you the toolkit link, your comparison, and the monthly benchmark report. Nothing else is emailed to you.
- Basic server logs and rate-limit counters (IP address, hashed, kept briefly) to stop spam and abuse.
- First-party site analytics we run ourselves: which version of a page you saw, which buttons you clicked, how far you scrolled, and which page led you here — tied to a random id in a cookie, never to your name or email. No ad trackers, no data broker, nothing sold to anyone.
- If Microsoft Clarity session recording is turned on (it's off by default — this page always says so when it's on), it records anonymized on-page behavior like clicks and scrolling on this site only, tagged with which page version you saw. Same rule applies: never sold, never tied to your name unless you gave us your email separately.
How it's used
- Your individual survey answers are never shown to anyone, ever — not other members, not in any report. Only aggregated numbers (counts, percentiles, shares) are shown, and only once enough shops have answered a question that no one submission stands out.
- Aggregate results may be shared publicly (for example, a monthly benchmark summary) — always as group statistics, never as an individual response.
- Site analytics are used only to see which version of a page or offer actually helps owners (more useful info, a real signup, a Discord join) — so we can keep the version that works and drop the one that doesn't. Never used to identify you individually.
We only email you if you gave an email address and checked a consent box (survey comparison, monthly benchmark report, or the toolkit link). You can unsubscribe any time by replying "unsubscribe" or emailing us at hello@hvacgrowthroom.com — we'll remove your email right away. We never sell or share your email with anyone.
Data retention & deletion
Survey answers and analytics events are kept to keep the benchmark and our own tests accurate over time. If you want your submission, toolkit claim, or email removed, email us and describe roughly when you submitted and what state (if any) you gave — we'll find and remove it.
