How it works

  • Missed calls = calls per week × % missed.
  • Callers lost = missed calls × % who call a competitor instead.
  • Jobs lost = callers lost × your booking rate. We assume a lost caller would have booked at the same rate as the calls you do answer.
  • Per month and year: jobs per week × 52 weeks, and that ÷ 12 for a month.
  • Revenue lost = jobs lost per year × average ticket.
  • Booking-rate gain = answered calls × the points you add × 52 weeks × average ticket. It only counts calls you already answer, so it stacks on top of fixing missed calls.

Where to get your numbers

  • Calls and missed calls: your phone system, VoIP provider, or call tracking report. Count after-hours and lunch-hour calls too — that's often where they go missing.
  • Booking rate: jobs booked from phone calls ÷ calls answered, for the same week or month. Your field service software's job list and the phone log are enough.
  • Average ticket: revenue ÷ jobs for the same period.
  • Who calls a competitor: nobody can see this for sure. Try a low and a high guess and see how much the answer moves.

We don't quote typical missed-call or booking rates here because we haven't found a solid public source for them. That's what the anonymous Owner Numbers survey collects, so owners can compare against real peers.

Things this leaves out

  • Lifetime value. A new customer you keep may come back for years or join your maintenance plan. This counts only the one job.
  • Cost to fix it. An answering service, an extra CSR, or call-handling training costs money. Compare that cost to the revenue here.
  • Profit vs revenue. These are revenue numbers. Multiply by your gross margin to see the profit.
  • Spam and wrong numbers. Leave those out of your call count.
